Vice President, Finance and Operations

Founded in 1973, Meals On Wheels, Inc. of Tarrant County’s mission is, “To promote the dignity and independence of older adults, persons with disabilities, and other homebound persons by delivering nutritious meals and providing or coordinating needed services.”

Meals On Wheels, Inc. of Tarrant County provides home-delivered meals, professional case management, and other needed services to homebound elderly and disabled people living in Tarrant County, Texas in response to several community needs: malnutrition, food insecurity, social isolation, and poor mental and physical health. The annual budget is $6.8M with approximately 55% from individual donors and the remaining from a variety of government funded grants.

Position

Reporting to the President & CEO and serving as an integral member of the senior management team, the Vice President of Finance and Operations (VP) will be responsible for the day to day oversight of all accounting, business operations including grant tracking and billing, contract compliance, human resource functions, and customer service. The VP will develop and maintain a progressive financial management strategy and contribute to achieving the organization’s strategic goals. In addition to the strategic components, the VP will be charged with regularly updating policies and procedures in all areas of responsibility This is an outstanding opportunity for a finance executive with nonprofit, operational experience, and a proven track record of creative problem-solving and change management to join in a high-growth, mission-driven organization.

Responsibilities

      Strategy, Vision and Leadership

  • Advise the President and other key members of senior management on financial planning budgeting, cash flow, investment priorities, business operations, human resources and other policy matters
  • Serve as the management liaison to the board and audit committee by effectively communicating and presenting critical financial matters at select board of directors and committee meetings
  • Contribute to the development and oversight of Meals On Wheels strategic goals and objectives as related to the VP areas of responsibility
  • Maintain continuous lines of communication, keeping the President informed of all critical issues
  • Develop and maintain quality assurance strategies for business operations staff emphasizing the importance of accurate record keeping, contract compliance, grant management, and customer service
  • Share quality assurance strategies with all Meals On Wheels staff
  • Represent the organization externally, as necessary, particularly in banking and contract negotiations

      Team Development/Leadership

  • Oversee, direct, and organize the work of the accounting, business operations and human resources staff
  • Ensure compliance with local, state, and federal contracts, human resource, and grant reporting requirements
  • Promote a culture of high performance and continuous improvement in a fast-paced environment that values learning and a commitment to quality
  • Ensure staff members receive timely and appropriate training and development
  • Establish and monitor staff performance and development goals, assign accountabilities, set objectives, establish priorities, conduct annual performance appraisals, and administer salary adjustments
  • Mentor and develop staff using a supportive and collaborative approach
  • Experience working in a fast paced deadline-driven environment while maintaining excellent customer service

      Accounting & Operations

  • Continuously monitor and improve policies & procedures, internal controls, and staff compliance with written procedures, to insure Meals On Wheels strictly follows generally accepted accounting principles
  • Plan, coordinate, and execute the annual budget process
  • Ensure that Meals On Wheels is adhering to the strategic plan as it relates to the VP areas of responsibility and deliver status reports to the board
  • Provide analytical support for the internal management team including development of internal management reporting capabilities
  • Continuously monitor, update and improve administrative and operational accounting services such as treasury management, grants payment processing, client data collection and reporting, payroll, human resources, accounts receivable, accounts payable, and purchasing
  • Effectively manage intercompany transactions related to the endowment, client assistance and construction general ledgers
  • Ensure timely completion of financial statements, month-end reconciliations and grant status reports
  • Meticulously manage all contracts and grants to ensure strict compliance with rules and regulations
  • Establish a customer friendly environment that promotes excellence in customer service when dealing with clients, donors, volunteers, other staff members, and the public
  • Effectively supervise staff with respect, recognize identified strengths and encourage improvement with weaknesses
  • Recognize the fast-paced work environment and creatively acknowledge staff for their commitment to accuracy and timely completion of daily, weekly, monthly, quarterly, and annual tasks

Qualifications

  • Accounting degree mandatory, a master’s in business administration or CPA preferred
  • Minimum 10 years experience in a senior management role ideally with both external audit and in-house financial management experience gained in a high-growth organization
  • Experience either as an employee or board member of a nonprofit organization; must be familiar with nonprofit finance and accounting regulations
  • Proven track record of success facilitating progressive organizational change and development within a growing organization
  • Excellent judgment and creative problem solving skills including negotiation and conflict resolution skills
  • Strong mentoring, coaching experience to a team with diverse levels of expertise
  • Entrepreneurial team player who can multitask in a fast-paced environment
  • Superior management skills; ability to influence and engage direct and indirect reports and peers
  • Self-reliant, good problem solver, results oriented
  • Energetic, flexible, collaborative, and proactive; a team leader who can positively and productively impact both strategic and tactical finance and administration initiatives
  • Exceptional written, oral, interpersonal, and presentation skills and the ability to effectively interface with senior management, the board of directors, and staff
  • Ability to operate as an effective tactical as well as strategic thinker
  • Exceptional working knowledge of Microsoft Office products, specifically, Outlook, Excel, Word and ACCESS
