Position Overview: The Home Repair Project Coordinator will be responsible for the day-to-day oversight of home repair and modification projects for clients, primarily those funded through a grant from the Texas Veterans Commission. This individual will work closely with the Client Assistance Manager to assure projects meet budgetary requirements, determine if there are any code or compliance issues that need to be addressed, identify tasks that will need to be completed before a project can be approved, and get bids as needed to comply with the agency’s procurement policy. Once a bid is awarded, the Home Repair Project Coordinator and Client Assistance Manager will meet with the general contractor and client to make sure the client approves of the project before constructions begins. This position will work closely with all agency departments regarding facilitation of auxiliary services to clients. Support the overall Client Assistance Programs, which include, but are not limited to, critical home repair services and health and safety equipment installation. This position requires driving your personal vehicle for client home drop-offs, agency collaboration, drop off and pick up of supplies, equipment, and/or any agency business. To participate in the day-to day activities, services, and auxiliary resources related to the Client Assistance Program.
Paid As: Hourly, Non-Exempt Full-Time Employee
Hours of Operation: 8:00 AM – 4:30 PM Monday – Thursday, 8:00 AM – 3:30 PM Friday
Reports To: Client Assistant Manager
Supervises: Support supervision of board and community volunteers
Other Relationships: Works with all Agency departments, board members, clients, community partners, other nonprofit agencies, volunteers, and public in general
ESSENTIAL JOB TASKS
- Support the overall vision and strategic plan for the Agency
- Provide direct supervision for volunteers and other staff assigned to work on the Home Repair Program
- Position responsibilities included, but are not limited to:
- Maintain responsibility of assigned duties
- Preparation to meet with visitors
- Make general phone calls to clients, volunteers and visitors
- Participate in volunteer events and special projects as assigned
- Manage ordering and inventory of client supplies
- Data entry and running reports
- Handling client emergencies effectively
- Train volunteers
- Attend public and staff meetings with Case Managers as directed
- Serve as an ambassador for the Client Assistance Program
- Work positively in a fast-paced environment with the understanding that changes occur often
- Ability to manage change in a professional and positive manner
- Communicate regularly with the Client Assistance Manager, Supervisor of Client Services and Vice President of Client Services
- Work directly with multiple community partners in a professional and enthusiastic manner
- Review and be knowledge of building plans and specifications
- Make recommendations for cost reduction on projects
- Assist with scheduling of subcontractors/municipal inspections
- Ensure safety measures followed and timely delivery of materials on all projects
- Track/organize tools and building materials and assist with onsite setup and cleanup
- Inspect work often to ensure quality maintained
- Oversee punch list and approval of warranty work is completed in a timely manner
- Document processes and procedures
- Other duties as assigned by the Client Assistance Manager, Vice President of Client Services or as required by Agency programs
QUALIFICATIONS
- Must be able to problem solve, organize, and have excellent time management skills
- Maintain attention to detail, ability to juggle multiple projects, work independently as well as in a team environment and make best practice decisions in a fast-paced and time sensitive environment
- Must be able to work individually as well as in a team environment, to collaborate with others, and support personnel, management, and clients on a regular basis
- Communicate effectively, verbally and in writing, with clients, donors, volunteers, staff and board members
- Possess good interpersonal skills and diplomacy
- Proficiency in Microsoft Office (Outlook, Word, and Excel) and database programs
- Independent judgment and the ability to work with little supervision
- Must be able to work after hours and weekends as required
REQUIREMENTS OF THE POSITION
- Veteran of the US Military/Armed Services, commensurate knowledge, education or experience may be considered
- Field management skills and a strong working knowledge of general construction, residential preferred
- Project Coordination experience in a construction environment
- Excellent customer services skill with emphasis on respectful and tactful communication
- Proficient written and oral communication skills
- Must be able to communicate with a clear, concise and empathetic manner with clients, donors, volunteers, staff, and board members
- Personal qualities of integrity, credibility, discretion about confidential matters and possess a strong work ethic
- The position includes strenuous activity when picking up supplies and equipment from partnering agencies and community services
- Work often requires sustained periods of loading and lifting of heavy items in both temperate and uncontrolled environments and all types of weather conditions
- Must be able to lift, load, and unload 40 lbs
- Physically able to climb stairs, repeatedly get in and out of vehicle, reach, stretch, bend, and sit or stand for long periods of time
